Understand where progress gets lost.
Look at how the work happens today: the people involved, the information they need and the systems they use. Where does someone wait, repeat a task or lose the context needed to act? Your team's experience helps identify the problem behind the visible symptom.
For example, an enquiry may wait because nobody knows who should respond, because customer details are missing, or because the next step depends on an unavailable colleague. Each cause calls for a different response.
Agree what useful progress would look like and what can be observed before making a change. Fewer unanswered enquiries or less time spent chasing a handover may be more meaningful than adding another tool.
02 / SOLVE
Choose a response that fits the work.
Use the understanding of the gap to assess suitable software, knowledge tools, automation or AI assistance. Clarifying a responsibility or simplifying a process may also be part of the answer. The scope follows the problem and the constraints around it.
For an enquiry handover, that could mean making ownership explicit and carrying the relevant customer information into the next step. Where automation is appropriate, define what it may do, what needs approval and who handles exceptions.
Before implementation, agree the work involved: who makes decisions, what information can be used, how people will participate and how the change will be checked. Consider cost, team capacity and the effect on existing work alongside the intended benefit.

Assess the change before taking it further.
Compare what happens after the change with the starting point and the improvement you agreed to assess. Look at the work itself: less waiting, fewer repeated entries, more useful enquiries or easier access to relevant information.
A faster handover is only useful if the next person receives what they need. Include the team's experience and any extra administration when weighing progress against the effort and cost involved.
Use that evidence to decide what comes next. Refine an approach that needs work, consider where a useful improvement could help elsewhere, or stop if the change does not justify continuing. Multiply is a decision to build on demonstrated value, not a promise that every change will expand.
